Payroll & Statutory Compliance

The Payroll module is the execution engine for staff compensation. Its purpose is to transform labor data into accurate financial disbursements, ensuring that every employee is paid correctly and in accordance with statutory requirements.

  • Employees: This sub-module pulls the current list of active staff from the HR Records module to ensure that only authorized employees are included in the pay cycle.
  • Attendance: This component links physical work to pay. It pulls data from biometric clocks or timesheets to verify that an employee was present and working before their salary for the period is authorized.
  • Commissions: This handles performance-based pay for specific roles. It calculates extra earnings based on sales, service targets, or project milestones achieved during the month.
  • Deductions: This manages the subtraction of funds from gross pay. This includes voluntary deductions (like loan repayments) and involuntary ones (like disciplinary fines), ensuring the final net pay is calculated accurately.
  • Bonus kpi: This links organizational success to employee reward. It calculates bonuses based on the achievement of specific Key Performance Indicators (KPIs), motivating staff to meet project targets.
  • Insurance: This manages the organization’s contribution to health and life insurance plans. It calculates the employee and employer portions of insurance premiums to ensure continuous coverage.
  • Payslips: This generates the final compensation statement for each employee. It provides a detailed, transparent breakdown of how the net pay was reached, which staff can download for their personal records.
  • Payslip templates: This allows for the standardization of pay documents. It ensures that all payslips contain the legally required information in a consistent, professional format.
  • Income taxes: This automatically calculates statutory tax withholdings. It ensures that the correct amount of income tax (PAYE) is deducted from every salary and prepared for payment to the government.
  • Reports: This generates payroll summaries for the finance department. It includes reports on total labor costs, tax liabilities, and insurance payments for each pay period.
  • Settings: This allows for the configuration of the payroll environment. It includes the ability to set tax tables, define pay frequencies (weekly vs. monthly), and manage bank transfer formats.
