The Fleet module manages the organization’s mobile assets. Its purpose is to ensure that transport resources are used efficiently, maintained correctly, and that driver behavior is monitored for safety and cost control.
- Dashboard: This provides a summary of the transport department. It displays metrics like total fuel cost, vehicle availability, and upcoming maintenance needs at a glance.
- Vehicle: This is the master database of every car, truck, or bike in the fleet. It tracks registration numbers, engine details, and physical condition, serving as the central record for each asset.
- Transactions: This logs all costs associated with a specific vehicle. From tolls to minor repairs, it provides a total “cost of ownership” view for every asset in the fleet.
- Driver: This manages the profiles of authorized vehicle operators. It tracks license validity, training history, and contact information, ensuring that only qualified people are behind the wheel.
- Work performance: This evaluates how drivers are performing their duties. It tracks on-time arrivals, adherence to routes, and the general care of the vehicle during their shift.
- Benefit and Penalty: This is a behavioral incentive tool. It allows the organization to reward safe, efficient driving or penalize negligence, such as traffic violations or unauthorized vehicle use.
- Event: This tracks specific incidents involving the fleet. It includes a log of accidents, breakdowns, or road closures that impact the organization’s transport operations.
- Work orders: This initiates the repair process. When a vehicle has a fault, a work order is created to authorize a mechanic to perform specific repairs at an agreed-upon cost.
- Garage: This manages the relationship with external or internal repair shops. It tracks how long vehicles spend in repair and the quality of work provided by different service centers.
- Maintenance: This component manages the proactive care of the fleet. It schedules routine oil changes, tire rotations, and engine checks based on mileage or time to prevent major breakdowns.
- Fuel: This is the primary cost-control component. It tracks every liter of fuel purchased against the vehicle’s mileage, highlighting any anomalies that might suggest fuel theft or engine inefficiency.
- Parts: This tracks the inventory of spare parts (e.g., tires, batteries). It ensures that the organization has the necessary items in stock to keep the fleet running without long delays.
- Insurances: This manages the legal and financial protection of the fleet. It tracks policy expiration dates and premium payments to ensure that the organization is always covered in case of a loss.
- Inspections: This component manages the routine safety checks of vehicles. It provides a checklist for drivers or mechanics to ensure that brakes, lights, and tires are in safe working order before a trip.
- Bookings: This is the scheduling interface for staff. It allows team members to reserve a vehicle for an official trip, preventing double-booking and ensuring transport is available when needed.
- Report: This generates analytical data for the fleet manager. It includes reports on fuel efficiency across the fleet, maintenance costs per vehicle, and driver safety scores.
- Settings: This allows for the configuration of fleet parameters. It includes the ability to set fuel limits, define vehicle types, and manage GPS tracking integrations.
