Inventory & Stock Control
The Inventory module manages the organization’s stock of physical goods. Its purpose is to ensure that critical supplies are always available and that every item in the warehouse is accounted for from arrival to issuance.
- Items: This is the master list of all stock items. It includes descriptions, SKU numbers, and “minimum stock levels,” which trigger a reorder when supplies run low.
- Inventory receiving voucher: This is the legal record of goods entering the warehouse. It verifies that the quantity and quality of items delivered by a vendor match the original Purchase Order.
- Inventory delivery voucher: This tracks the movement of stock out of the warehouse. It records which department or staff member received the items, maintaining a clear chain of custody.
- Packing lists: This manages the logistics of shipping goods. It ensures that the correct items are bundled together for transport to project sites, preventing errors in delivery.
- Internal delivery note: This is a receipt for goods moved within the organization. It provides proof that a project site received the items sent to them by the central warehouse.
- Loss & adjustment: This is an audit tool used to correct inventory records. If items are found to be missing, damaged, or expired, this component records the loss and adjusts the digital count to match reality.
- Receiving-Exporting return order: This manages the return of faulty goods to a vendor or the return of unused stock to the central warehouse, ensuring that the inventory ledger stays accurate.
- Warehouse: This manages the physical storage locations. It allows the organization to track stock across multiple buildings or rooms, ensuring that items can be found quickly when needed.
- Inventory history: This provides a chronological log of every action taken with a specific item. It shows when it was bought, who received it, and when it was finally issued, providing a full audit trail.
- Report: This generates analytical data on stock. It includes reports on inventory value, turnover rates (how fast items are used), and lists of items that are nearing their expiration date.
- Settings: This allows for the configuration of inventory parameters. It includes setting unit measurements (e.g., “Box of 100”), defining warehouse zones, and managing user permissions for stock managers.
